WhatsApp message templates for supermarkets and grocery stores

Supermarkets need six templates: four utility messages for order confirmation, pickup-slot readiness, substitutions and basket updates, one marketing template for the weekly offer, and one authentication template for the account or loyalty sign-in.

A grocery basket is a long list of small decisions, and each missing item is a reason to call the store. WhatsApp moves substitutions, slot changes and pickup readiness into one thread, which keeps the front desk free and the customer informed.

Order confirmation

Utility

Send it when: Send when a grocery order is placed for pickup or delivery.

Hi {{1}}, order {{2}} is confirmed for {{3}}. We will message you when it is ready.

Pickup slot ready

Utility

Send it when: Send when a collection order is packed and waiting.

{{1}}, your order {{2}} is packed and waiting at the pickup counter until {{3}}.

Substitution note

Utility

Send it when: Send when a listed item is unavailable.

Hi {{1}}, the {{2}} is unavailable today. Reply with a replacement, or we will leave it out and adjust the bill.

Basket update

Utility

Send it when: Send when the final weight or price differs from the estimate.

Hi {{1}}, your final bill for order {{2}} is {{3}} after weighing. Reply here with any questions before pickup.

Weekly offer

Marketing

Send it when: Send to opted-in regulars at the start of the week.

{{1}}, this week's offer is on fresh produce and staples. Show this message at the counter or order online. Reply STOP to opt out.

Sign-in code

Authentication

Send it when: Send when a customer logs in to the account or loyalty page.

{{1}} is your one-time sign-in code for your account. Do not share it.

How the category changes what you pay

  • Every template is submitted under one category, and Meta assigns the final one in review. A utility template that reads like a promotion can be reclassified as marketing, which changes both the rate and the opt-in requirement.
  • Since 1 October 2026, service messages are charged per delivered message after the first 1,000 free service messages per business phone number per month. The allowance does not roll over and there are no volume tiers.
  • Inbound messages are free, and a customer-initiated message opens the 24-hour customer service window. Anything you start outside that window needs an approved template.
