WhatsApp message templates for quick-commerce and dark-store teams

Quick-commerce and dark-store operations run on six templates. Four are utility messages for order confirmation, substitutions, rider ETA and failed delivery, one is a marketing template for back-in-stock alerts, and one is an authentication template for account login.

The promise is a few minutes, so every minute of silence erodes trust. A picker who finds an item missing, a rider stuck at the gate, or a customer who is not home all need a fast, structured message. WhatsApp handles that without a call centre.

Order confirmation

Utility

Send it when: Send immediately after payment or order acceptance.

Hi {{1}}, order {{2}} is confirmed and picking has started. Your delivery window is {{3}}.

Substitution request

Utility

Send it when: Send when a picked item is out of stock.

Hi {{1}}, the {{2}} you ordered is out of stock today. Reply 1 for a larger pack, or 2 to remove it from the bill.

Rider ETA

Utility

Send it when: Send when the rider leaves the store.

{{1}}, your rider {{2}} is {{3}} minutes away. Please keep the gate or lobby accessible.

Failed delivery

Utility

Send it when: Send when no one is available at the delivery address.

Hi {{1}}, we could not complete delivery of order {{2}} today. Reply to reschedule for the next slot at no extra charge.

Back in stock

Marketing

Send it when: Send to opted-in customers who asked about or bought the item.

Good news, {{1}} - the {{3}} is back in stock at your nearest store. Order in the next hour for the fastest slot. Reply STOP to opt out.

Login code

Authentication

Send it when: Send when a customer signs in to the app.

{{1}} is your one-time login code. Never share it with anyone.

How the category changes what you pay

  • Every template is submitted under one category, and Meta assigns the final one in review. A utility template that reads like a promotion can be reclassified as marketing, which changes both the rate and the opt-in requirement.
  • Since 1 October 2026, service messages are charged per delivered message after the first 1,000 free service messages per business phone number per month. The allowance does not roll over and there are no volume tiers.
  • Inbound messages are free, and a customer-initiated message opens the 24-hour customer service window. Anything you start outside that window needs an approved template.
