WhatsApp message templates for fmcg distributors

An FMCG distributor typically runs six templates, five utility and one marketing. Utility covers order booking confirmation, dispatch alerts, near-expiry stock notices, scheme margin updates and payment reminders; the marketing template pushes a new launch or display incentive. Hundreds of small retailers reorder every week, so the utility set carries the load.

Kirana counters order fast and expect instant confirmation, and a missed scheme notice costs the retailer margin. WhatsApp keeps the order, the scheme and the payment slip on the same thread the shop owner already uses. A retailer-initiated message opens a 24-hour window; distributor-initiated messages after it need an approved template.

Order Booking Confirmation

Utility

Send it when: When a retailer's beat order is booked for the next delivery.

Order {{1}} booked for {{2}}. Value {{3}}. Delivery on your next beat day, {{4}}.

Dispatch Alert

Utility

Send it when: When the van or truck has left with the retailer's order.

Your order {{1}} is on the van today. Driver {{2}}. Please check cartons against the invoice on receipt.

Near-Expiry Stock Notice

Utility

Send it when: When a batch at the retailer or in stock is nearing expiry.

{{1}}, stock of {{2}} with batch {{3}} expires on {{4}}. Plan sales or return before that date.

Scheme Margin Update

Utility

Send it when: When a running scheme's slab or payout changes for a retailer.

Update for {{1}}: the {{2}} scheme now pays {{3}} per case. Applies to orders from {{4}}.

Payment Reminder

Utility

Send it when: When a retailer's outstanding against delivered goods is due.

Your account {{1}} shows {{2}} due on {{3}}. Kindly settle or reply if the statement needs a check.

New Launch Or Display Offer

Marketing

Send it when: When a new SKU or display incentive is introduced.

{{1}}, {{2}} is launching this week. Reply if you would like the rate list or a display slot.

How the category changes what you pay

  • Every template is submitted under one category, and Meta assigns the final one in review. A utility template that reads like a promotion can be reclassified as marketing, which changes both the rate and the opt-in requirement.
  • Since 1 October 2026, service messages are charged per delivered message after the first 1,000 free service messages per business phone number per month. The allowance does not roll over and there are no volume tiers.
  • Inbound messages are free, and a customer-initiated message opens the 24-hour customer service window. Anything you start outside that window needs an approved template.
