WhatsApp message templates for courier, freight and last-mile teams

Delivery operations need four utility templates — pickup confirmed, in transit with tracking, delivery attempt, and delivery confirmed — plus an address-correction template for failed drops. Each is tied to a shipment that exists, so none of them are marketing.

Delivery calls are avoidable. A tracking link in the right place at the right time removes most of them, and a delivery-attempt message with an address-correction reply path rescues parcels that would otherwise return to the hub.

Pickup confirmed

Utility

Send it when: The shipment is scanned at collection.

Hi {{1}}, shipment {{2}} was collected from {{3}} on {{4}}. Expected delivery is {{5}}. Track it here: {{6}}.

Out for delivery today

Utility

Send it when: The parcel is loaded on the delivery run.

Hi {{1}}, shipment {{2}} is out for delivery to {{3}} today between {{4}} and {{5}}. Track the driver here: {{6}}.

Delivery attempt failed

Utility

Send it when: The courier cannot complete the drop.

Hi {{1}}, we could not deliver shipment {{2}} today — {{3}}. Reply with a new time or instruction and we will retry {{4}}.

Delivery confirmed with proof

Utility

Send it when: The drop is completed and the proof is recorded.

Hi {{1}}, shipment {{2}} was delivered to {{3}} on {{4}} and signed for by {{5}}. Your proof of delivery reference is {{6}}.

Address correction needed

Utility

Send it when: The postcode or landmark is insufficient.

Hi {{1}}, the address on shipment {{2}} needs one more detail to complete the drop: {{3}}. Reply here with the correction and we will update the route.

Reschedule options

Marketing

Send it when: An opted-in customer asked to choose a delivery window.

Hi {{1}}, choose a delivery window for shipment {{2}}: 1) today 4-6pm 2) tomorrow 9-11am 3) tomorrow 4-6pm. Reply with the number and we will lock it in.

How the category changes what you pay

  • Every template is submitted under one category, and Meta assigns the final one in review. A utility template that reads like a promotion can be reclassified as marketing, which changes both the rate and the opt-in requirement.
  • Since 1 October 2026, service messages are charged per delivered message after the first 1,000 free service messages per business phone number per month. The allowance does not roll over and there are no volume tiers.
  • Inbound messages are free, and a customer-initiated message opens the 24-hour customer service window. Anything you start outside that window needs an approved template.
